     Develop and refine processes (e.g., timelines/deliverables for proposal submissions and grant reporting; onboarding/offboarding faculty related to sponsored/non-sponsored funding; repositories, etc.).

     Collaborate with colleagues and University partners on research administration business procedures. Develop communication plans for SEAS research community.
     Partner with the SEAS lead for research policy to ensure processes are compliant with University policies/procedures and applicable federal and sponsor rules and regulations.

     Serve as a strategic advisor to the Dean for Research and SEAS leadership on research administration and sponsored research funding, including support of proposal development for large research center grants.
     Develop and steward partnerships among faculty, funding agencies, collaborating institutions, SEAS offices (e.g. finance, faculty administration, area administration, faculty affairs, human resources), and University offices (e.g. Office of Sponsored Programs).
     Represent the school at the university level and to external constituencies to foster external support.

   Position Description
   
    Reporting to the Director of Finance in the Department of Immunology, the Administrative Coordinator II coordinates all onboarding and off-boarding, visas, job letters, for the Department of Immunology. Serves as the "face" of the department as people enter the department administrative office. The Coordinator II will also work on the development and posting of job positions. Oversees work of support staff, students and/or casuals; trains, schedules and distributes work to students, casuals, and non-overtime-eligible employees.  Prepares and manages all visa material, being the department’s primary liaison with the Harvard International Office and providing information to international scholars on the nature of the required paperwork. Partners with finance office to draft offer letters, ensure grants assignments, and other financial salary aspects of onboarding.  Independently responsible for forecasting, facilitating, tracking, and reporting on the arrivals, changes to work responsibilities, and departures of personnel in the Immunology Department; academic appointments, staff, Postdocs, visiting scholars, Graduate Students, research collaborators, and interns.  Works with a high level of independence and decision-making authority, partnering with the Immunology Finance and Admin Team, Lab & Research Operations, HMS HR, HIO, affiliate hospitals, and ARC group, among other HU departments, to ensure the department complies with financial and human resources policies, visa guidelines, and lab safety.  Will act as a backup for AP coordinator on various financial tasks including, but not limited to, Purchasing Cards, reimbursements, Corporate Cards, B2P access requests, service center chargebacks, core billing, and resolution of A/P issues and invoice discrepancies. Assists finance team with miscellaneous service requests by faculty members as needed. Project management responsibilities as needed.  Reviews payroll so that employees are paid correctly and on time and receive funding at the proper allocations as advised by the Finance Team.       Growth Strategy: Works directly with Director to develop, refine and execute the IOP’s overall growth strategy. This includes playing a leadership role in expanding and maintaining a sustainable fundraising framework for the center. Fosters and expands relationships with the IOP’s Board, Student Advisory Council and other related internal and external stakeholders.
    
    
      Operations, Administration and Human Resources: Directs and manages all the IOP operations, including all aspects of logistics and programmatic development. Hires, manages, and develops program staff, ensuring a high level of professionalism, teamwork and focus on excellence. Leads center’s DEIB initiatives and builds high-performing collaborative and inclusive culture across staff, faculty and fellows. Partners with Human Resources to manage sensitive employee relations situations.
    
    
     The Executive Director will manage a professional and administrative team and supervise program directors and teams in respective areas including the JFK Jr. Forum, Resident and Visiting Fellows Programs, Student Programs, National Conferences and events, Communications, Internships and Career Services and the Harvard Youth Poll, New Members of Congress Program and Campaign Managers Conference while ensuring all activities are integrated into the larger mission of the Harvard Kennedy School.
    
    
      Financial Management: Oversees of all financial management for IOP and collaborates with the Senior Finance and Administrative Director of the IOP. This includes oversight of sponsored funding and gifts, working collaboratively with the HKS Research Administration Office.
    
    
      Engagement: Works with the Kennedy School’s leadership, faculty, students, benefactors, and others in ensuring that the IOP’s initiatives move forward and are integrated into the larger mission of the School and University. Actively manages and supports faculty affiliates, fellows and students. Collaborates with affiliated groups on all events.
    
   
  
  
   Basic Qualifications
   
    Bachelor’s Degree and/or at least 10 years of progressively responsible administrative management experience, including experience in public or political service and work experience managing complex projects and organizations. Must have experience managing students, and staff.

     Outstanding communication and relationship building skills.
     Ability to work with minimal supervision
     Successful candidates will have experience in shaping and sustaining a program in an academic, public or non-profit setting.
     Evidence of ability to handle a wide variety of tasks and people in a fast-paced environment.
     Experience in managing, motivating, supporting, and leading a team.
     Experience working with college students preferred.
     Graduate degree in public administration or related field desirable.
     Experience in national or statewide campaigns a plus.
     Experience working with media and elected officials preferred.

    This position is based primarily on-campus, in Massachusetts. This may include in-person during emergency situations (if applicable).
