CAREER MANAGEMENT ASSISTANT (CONCIERGE)
Department Overview
The Ivey Career Management department facilitates access to Ivey students and the alumni network to help our corporate partners fill vacancies within their organizations. Ivey Career Management helps connect students and employers in a meaningful way through providing them with access to Ivey students through various on-campus recruiting activities. The Corporate Recruiting Team at Ivey works closely with our recruiting partners to advise them on their campus recruiting strategies and developing their campus brand. The Operations team helps to support the Corporate Recruiting Managers and our corporate partners by managing the logistics of their campus recruiting activities.
The Career Management Assistant role works closely with the Operations and Corporate Recruiting team to ensure a smooth and successful recruiting experience for all involved – both Ivey students and our corporate partners. The role will consist of both virtual and in-person elements.
Key Responsibilities
Preparing for corporate engagement events and interviews for recruiters both virtually and in-person
Hang signage, provide water bottles, ensure wi-fi details are available, etc. Review the facilities request and ensure that the caretakers have set up the room as requested by the firm. Set technology up accordingly for the firms.
Ensuring Zoom meeting links are set up properly (i.e. hosts, break-out rooms, etc.)
Greeting alumni and recruiters both virtually and in-person
Welcome corporate partners at the entrance to the building, provide them with relevant information and escort them to their assigned rooms. Ensure they have everything they need for their corporate engagement event or interviews and assist with connecting their laptop to the projector (if needed).
Welcome corporate partners to virtual events and ensure they set up for their sessions to run smoothly. For those sessions hosted on an Ivey platform, will assist corporate partner throughout the session as needed (i.e. managing chat feature, managing raised hands, etc.)
Attendance at Corporate Engagement Events
Take attendance at the corporate engagement event via your phone and on the manual attendance sheet. Reconcile attendance within the Career Management platform, and save a copy of the attendance so that it can be provided to the firm.
Attend virtual sessions, view participant list and track students in attendance. Update event attendance in Career Management internal system, and save a copy of the attendance so that it can be provided to the firm.
Provide additional support to the operations team and assist in preparing for recruiting activities.
Other duties/ad hoc projects as assigned
Qualifications:
- Must be a full time student at Western (enrolled in minimum 3.5 courses), and expect to retain full-time student status for the duration of this appointment
- 1 year part time employment or volunteer experience

Anticipated Shifts
Many evening shifts – must have availability between 2:30pm – 8:00pm at least 2-3 week nights.
The scheduled shifts will differ from week to week depending on recruiting activity scheduled. During the training session, you will be provided with a calendar noting the available shifts for each week.
Term: August 19th, 2024 – March 31st, 2025
Please note that there will be no scheduled shifts in December due to limited recruiting activities.
