Requirements

  • The ideal candidate will be someone who wants to work in the events industry and will use this opportunity to learn from a talented and passionate group of individuals
  • Ability to handle multiple tasks simultaneously and be able to prioritize accordingly
  • Ability to participate/lead and work effectively in multiple team environments
  • Good time management, fast learner, a sense of humor, and the ability to work as part of a team are prerequisites
  • Should be able to write proposals, keep accurate minutes of meetings
  • Proficient in Microsoft Office including Word and Excel

Responsibilities

  • Become thoroughly familiar with the events run by Haymarket
  • Become familiar with event/marketing timelines and procedures and assist with building out new timelines for the 2025 fiscal year
  • Become familiar with the goals of all events
  • Assist events team with day-to-day operations and event planning
  • Compile department vendor/venue list including new venue sourcing and pricing
  • Prepare agendas and documents, collect materials and complete background research in preparation for upcoming events and team meetings
  • Work with the Director to establish a master sponsorship document covering all sponsorship opportunities currently offered along with new sponsorship ideation
  • Facilitate and attend at least 1 live or virtual event
  • Gain an understanding of the event process from budgeting to planning to execution to post-event surveys
  • Assist department in upcoming administrative tasks as needed
