Responsibilities

  • Interview Scheduling & Coordination – Manage complex interview schedules, including coordinating availability across candidates, hiring managers, and interview panels. Ensure a seamless experience by sending confirmations, calendar invites, and follow-up emails.
  • Event Logistics & Support – Assist in planning and executing talent acquisition events, such as career fairs, networking sessions, and on-site interview days. Handle event logistics, including venue setup, materials preparation, catering coordination, travel arrangement and candidate check-ins.
  • Candidate Communication & Support – Act as a point of contact for candidates, providing timely updates, interview details, and answering logistical questions. Ensure a smooth and positive candidate experience.
  • Systems & Data Management – Maintain accurate records in ZS’ proprietary Applicant Tracking System (ATS), update interview feedback, and store the documents at appropriate locations.
  • Stakeholder Coordination – Liaise with recruiters, hiring managers, vendor partners and external candidates to ensure efficient execution of talent acquisition processes. Proactively address any scheduling conflicts or last-minute changes.
  • Increasing Recruiters’ work productivity - Screening calls, interacting with candidates, editing presentations and documents.
  • Completing administrative processes - Filing, expense reports, preparing purchase orders, and ordering supplies.
  • Assist with miscellaneous HR projects;
