Responsibilities

  • Keep department contact sheets up-to-date with updated series regulars/EPs and rep contact info.
  • Create contact sheets for new shows
  • Reach out to reps to gather talent/EP birthdays and add to corresponding grids
  • Track when shows are starting production and help with start of production gifts
  • Help purchase gifts as needed
  • Assist in brainstorming + researching gift ideas
  • Draft talent itineraries for premieres, festivals, awards ceremonies, FYCs, and other special events
  • Update finance grids to track talent travel and glam costs (if needed)
  • Keep department events calendar up to date weekly
  • Attend brainstorming sessions and contribute creative ideas on event concepts
  • Assist with the development of event rundowns, post event recap and presentation decks, and communications materials related to the event
  • Develop, manage and track guest lists for upcoming events
  • Assisting with coordinating team meetings with internal departments and outside vendors
  • Occasionally help the Awards team as needed with special projects
  • Help brainstorm and research charities for department donations and create donation cards
  • Work events on-site as needed
  • Come into the office to work 2-3x/week or as needed
