Responsibilities

  • In this role, you will be the first point of contact for visitors and callers, ensuring a welcoming and professional atmosphere. Key responsibilities include:
  • Greeting visitors, determining the purpose of their visit and directing them to the appropriate location.
  • Sorting and distributing incoming mail and packages
  • Answering phone calls to our LA office and at times handling phones for other offices through call forwarding This includes answering, screening, and directing phone calls to staff, and may also include taking messages.
  • Perform basic administrative support tasks such as copies and scanning, data entry, scheduling, etc.
  • Coordinating outgoing courier services, shipping and mail.
  • Coordinate and set-up meetings and events as requested, including catering, set-up, clean-up and coordination of all other logistics (AV needs, supplies) Maintaining office supplies and snacks/drinks/coffee. This includes restocking kitchen with delivered items.
  • Ensuring that the front office space, conference rooms and kitchen area remain clean and welcoming throughout the day.
  • Assist engineering and administrative teams with construction administration, formatting and editing for project specifications and performing graphical quality control of engineering design drawings at project milestones.
