Requirements

  • Graduate of a recognized office administration/secretarial program is required.
  • Membership in the IAAP (International Association of Administrative Professionals) preferred.
  • Minimum of three (3) years’ experience in an administrative support position.
  • Ability to use Microsoft Windows and all components of Microsoft Office (Word Excel, Powerpoint, Outlook) and the ability to acquire new skills as necessary.
  • Accurate keyboarding skills with a minimum typing speed of 60 words per minute and a maximum 5% error rate and accurate data entry skills.
  • Experience operating office equipment, including fax machine and multi-functional unit (MFU).
  • Excellent communication (listening, oral and written) and interpersonal skills, demonstrating a high degree of tact, judgment, courtesy and confidentiality when dealing with all levels of staff and the public.
  • Demonstrated spelling and grammar skills and ability to edit and proofread, with attention to detail.
  • Demonstrated interpersonal skills including ability to work as a team member and ability to foster collaborative relationships.
  • Demonstrated excellent organizational, planning, follow-through and time management skills, with the ability to prioritize tasks and accurately handle multiple priorities.
  • Demonstrated ability to synthesize information, problem solve and utilize good judgment in decision making.
  • Demonstrated accountability, initiative, and ability to work independently as well as part of a team.
  • Excellent critical thinking and conflict-resolution skills.
  • Ability to work under pressure to meet deadlines, working flexible hours as necessary.
  • Competencies in other languages as asset, French preferred.

Responsibilities

  • Reporting to the Managers and/or the Provincial Lead for Intake of Mental Health and Addictions, functioning as a key member of the administrative team and supporting the daily operations of the department, the Administrative Assistant provides confidential administrative support to management, team members, working groups and/or committees.
  • The Administrative Assistant ensures that the principles and practices that guide NSHA such as the vision, mission, values, expected behaviours, the leadership philosophy, organizational health, population health, ethics, safety, quality, partnerships and interprofessional collaboration are integrated within the support that is provided by the work that they do and through the messages they deliver.
