Requirements

  • Diploma in Business Administration.
  • Three to five years of administrative experience preferably in a post-secondary environment, shared services and/or large, complex environment.
  • Experience providing student facing support in high-risk environments.
  • Current or previous experience in administration at the University of Alberta is an asset.
  • Proficient in Microsoft Office, Google Applications, Adobe Pro; and content management systems, Cascade is an asset.
  • Knowledge of PeopleSoft or similar enterprise systems.
  • Excellent computer skills including proficiency in the use of databases, spreadsheets, and word-processing software.
  • Demonstrated proficiency with PeopleSoft, Supply NET, Microsoft Office, and Google applications preferred.

Responsibilities

  • Prepares minutes, emails, internal communications, agendas and other correspondence.
  • Manages the electronic calendars, including scheduling appointments and organizing meetings involving numerous internal and external attendees.
  • Scheduling of training and education sessions.
  • Prepares a variety of documents and correspondence for record-keeping, signatures and distribution.
  • Office reception tasks (opening and closing the office each day, greeting guests, answering phones, checking in appointments, etc.).
  • Student appointment booking/coordination (receiving requests, creation of calendar events at appropriate times, etc.).
  • Coordination of group events/meetings (e.g., booking rooms/setting up Zoom events [including recording], creation of calendar events, distribution of agendas and other group event/meeting communications).
  • Other duties as assigned.
