Responsibilities

  • Assist with the management of the Executive Director's calendar, prioritizing tasks and managing scheduling conflicts.
  • Track the Executive Director's commitments, goals, projects, tasks and deadlines.
  • Provide comprehensive administrative support to the Executive Director, including document preparation, report creation, and correspondence drafting.
  • Handle special projects as assigned by the Executive Director, ensuring they are completed efficiently and proactively.
  • Facilitate smooth communication between the Executive Director, board members, internal staff, and external partners.
  • Coordinate all scheduling and meeting logistics for board and committee meetings.
  • Assist in preparing agendas and materials for board and committee meetings.
  • Draft minutes to record board and committee meetings in a timely manner.
  • Manage agency and admin calendars and shared folders.
  • Facilitate communication with staff, ensuring they have access to updated information.
