Responsibilities

  • Calendar and travel management for SVP, RGM (domestic and international)
  • Plan and orchestrate meetings/conference calls across the region
  • Process forms and expense reports
  • Manage our staff meetings including agenda coordination and follow-up action items
  • Lead the planning and production of all region level activities, including off-sites, workshops and team building events.
  • Maintain region calendar; coordinate regular and one-off regional meetings, develop meeting agendas, and draft and distribute meeting minutes
  • Document support: Word, PowerPoint, Excel, general formatting
  • Coordinate monthly reporting, tracking and distribution
  • Verify invoices, supporting the manager or administrative responsibility for budget management (FRE, SRE, TRE, budget closing, invoicing, tracking of budget, re-charges)
  • Deal with incoming emails, faxes, phone calls, and mail
  • Maintain organized files/binders
  • Archiving and record keeping
  • Other administrative tasks as assigned (e.g., ordering office supplies, send FedEx)
  • Ad hoc assistance with important events and programs
