Responsibilities

  • Ensures Graduate Programs office staff are trained and supervised effectively, in collaboration with the Manager, Graduate Programs in Education
  • Documentation to support staff training and knowledge transfer is developed and shared staff problems are resolved quickly and fairly
  • Distribution and delegation of workload and monitoring of performance is equitable, taking into account the strengths, weaknesses and growth potential of the staff involved
  • Graduate Program Administrators are given opportunities and encouraged to participate in training and development opportunities
  • Staff understand their own responsibilities and accountabilities, are evaluated fairly, and given support and opportunities to improve their levels of skill and understanding
  • Ensures that students who are admitted to the University meet the minimum requirements, have appropriate supervision, are registered, complete program requirements, fulfill examination requirements and graduate having fulfilled all Werklund School of Education, Faculty of Graduate Studies and University of Calgary requirements
  • Monitors and creates reports for Associate Dean and Dean on ongoing application numbers, student acceptances, course enrollment, supervision, convocation, and other ad hoc reports when requested
  • Designs and produces end user queries and database/statistical reports from PowerBI. Reporting in a timely manner
  • Ensures the accurate and efficient delivery of graduate student services, including credential evaluations, admissions, registrations, fee assessments, student record maintenance, administration of examinations, convocation and application of academic policy
  • Any anomalies or problems with the items listed above are brought promptly to the attention of the appropriate Associate Dean or the Manager, Graduate Programs in Education for resolution
  • Ensures that knowledge required for accurate service delivery, such as current standards of international transcript assessment, is acquired and shared
  • Students, administrative and academic personnel of graduate programs are given accurate information in a professional, courteous and timely manner
  • Monitors adherence to University policies and procedures in relation to programmatic changes and implementation
  • Processes and procedures are evaluated and changes suggested to enhance service, efficiency and effectiveness
  • Graduate Program Administrators receive adequate training in Werklund School of Education and Faculty of Graduate Studies procedures
  • Services meet the changing needs of the graduate students, the Werklund School of Education, and the Faculty of Graduate Studies and the University
  • Excellent working relationships are developed and maintained with administrative staff and faculty members, both within the Werklund School of Education and with other units on campus
  • Students, administrative staff and faculty members are informed of changes or problems promptly and effectively
  • Close collaboration within the FGS student records team and with campus partners is required to ensure that Werklund School of Education registration processes are effectively and efficiently supported by technical services
  • Staff input is facilitated
  • Staff training is coordinated
  • Graduate Programs in Education processes are effectively and efficiently supported by technical services
  • Efficiently and effectively administers all operations of the Graduate Program, ensuring policies are followed and deadlines are met
  • Interprets and disseminates policies and regulations and applies them accordingly
  • Collaborates with the Manager, Graduate Programs in Education, the Associate Dean, Graduate Programs in Education, and the Director, Professional Programs for program planning
  • Monitors student program requirements from registration, courses, program changes, supervision, examinations and convocation clearance. Identifies concerns and takes action to remedy. Advises Manager, Graduate Programs in Education
  • Students seeking assistance and advice are counseled in a confidential manner
  • Ensure graduate students are given accurate guidance and advice on programs and courses Pleasantly and professionally develops and maintains excellent relationships with other units on-campus
