  • Education and Experience:
  • Essential:
  • Educated to GCSE/Level 2 standard or with equivalent experience
  • Some experience and knowledge of I.T. systems, including e-mail, internet and Microsoft Office applications (Word and Excel)
  • Experience working in an administrative role
  • Experience of working constructively as part of a team and ability to identify where assistance is required Desirable
  • Experience of customer service
  • Experience of working in a HR team

Responsibilities

  • General Administration:
  • Support the HR team by carrying out general administrative duties, including: -
  • Monitoring enquiries received via the HR Hornbill platform, assisting with the categorisation, allocation and management of enquiries and responding where possible
  • Monitor and respond to enquiries received via the jobs@kew mailbox
  • Process purchase orders and invoices on the Finance system liaising closely with the finance team
  • Admin support to Director of HR, including scheduling HR Departmental meetings, and meetings with Trade Unions
  • HR Operations Administration:
  • Accurate, timely, efficient and confidential administration of key HR processes adhering to HR Department standards, policies and procedures. The HR Support Assistant will be allocated responsibilities for a range of HR processes including but not limited to;
  • Providing administration for the online payslip portal, dealing with queries, unlocking accounts and resetting passwords where requested
  • Processing reference requests e.g. for mortgages, tenancy, and external employers
  • Manage the monthly leaver administration processes including file management
  • HR system administration e.g. scanning and uploading documents to employee records for the HR Administrators and closing unused job posts in the system on a monthly basis as well as keeping individual employee records updated.
  • Recruitment administration e.g. preparing candidate sift forms for hiring managers
  • Collect and process relevant documents and paperwork from new starters e.g. Right to Work documentation
  • Process DBS checks for new starters and current employees
  • Process pre-employment checks for new starters, including requesting references, working closely with the HR Administrators for support & guidance
  • Process our ‘You Made a Difference’ recognition scheme vouchers for employees
  • Running basic reports as required, including reports from Kew’s Exit Survey platform
  • Deliver or support other departmental activities as required, such as providing support for elements of the HR Administrators roles at peak times as well as providing holiday cover. Support with organisational processes generally such as sustainability and health and safety and providing assistance to colleagues with project work
