Responsibilities

  • Act as department receptionist by answering HR office telephone line and greeting visitors.
  • Manage HR email service account and delegate questions to appropriate HR representative as needed.
  • Provide clerical and administrative support to the HR Director, HR Consultants, and others as assigned.
  • Update organizational charts, complete employment verification and AFLAC forms, prepare professional correspondence, and perform word processing or spreadsheet assignments as necessary.
  • Coordinate exit interview process: schedule appointments, prepare and send exit interview emails, and compile exit interview results and share as appropriate.
  • Assist with timely data entry of licenses, certifications, clearances, and corrective action.
  • Send documents to the HR Scan Center to be added to FileNet (electronic employee record).
  • Provide support with ordering of office supplies, reviewing and organizing incoming mail, assist with filing/printing/copying/faxing items in a timely manner.
  • Respond to basic human resources questions and requests from employees or direct them to other human resources staff or UPMC resources as appropriate.
  • Run basic queries for tracking and compliance purposes. Reports include but are not limited to licensure reports, COGNOS turnover reports, and annual mandatories reports.
  • Maintain employee files on-site and request files as needed from vendor (BRM). Assist with annual review of inactive files and schedule pick-ups with BRM.
  • Assist leadership with processing expenses, screening calls, calendar management, scheduling meetings, booking conference rooms, taking meeting minutes, and processing expenses.
  • Complete unemployment compensation forms and attend UC hearings as needed.
