Requirements

  • Prior administrative support experience required.
  • Proficiency with Microsoft Office Suite, specifically Word, PowerPoint, Excel, and Outlook.
  • Excellent written, communication, and organizational skills and an evidenced ability to manage communication and workflow in a proactive manner.
  • Proven ability to work independently, multi-task and prioritize in a deadline-driven environment, with strong attention to detail and great problem-solving skills.
  • Appreciation for children’s books and diverse voices in the marketplace.

Responsibilities

  • Provide daily administrative and clerical support to the Publisher, Associate Director of Publishing, and editorial team.
  • Tasks include calendar management, filing and mailings, working across a variety of proprietary online systems, scheduling meetings and calls, and booking travel.
  • Act as the liaison with other departments and in communicating key information to the editors in the Viking Children’s imprint.
  • Share requested materials and print materials for meetings and more.
  • Assist with author and illustrator management, including literary agents.
  • Communicate with Publicity, Marketing, Sales, and all other key team members within Penguin Young Readers.
  • Assist with P&Ls, production estimates, title information sheets, invoices, metadata, contract requests, book orders, library of congress data, and other administrative tasks.
  • Assist with and manage departmental launch presentations and digital decks.
  • Maintain departmental contact information, website information, and social media.
  • Maintain departmental grid of publishing seasons and schedules.
  • Submit books for awards and announcements.
  • Facilitate occasional editorial tasks, like drafting descriptive text about our books, cover copy, and researching competitor titles across various platforms and current trends.
