Requirements

  • Post-secondary degree in a relevant discipline. Equivalent combinations of education and experience will be considered.
  • 3-5 years' experience in a medical and academic environment with extensive involvement in post-secondary educational administration.
  • Computer proficiency in a Windows environment using MS Microsoft applications (Word, PowerPoint, and Excel).
  • Familiarity with Google Apps (Mail, Drive, Sites, Calendar, Meet)
  • Familiarity with one45, Zoom. eClass and various virtual platforms considered an asset.
  • Excellent communication (oral and written) and interpersonal skills, experience taking minutes.
  • Strong accuracy and attention to detail.
  • Excellent editorial and proofreading skills.
  • Highly developed organizational and problem-solving skills.
  • High level of tact and discretion; must be able to maintain absolute confidentiality.
  • One year of on-the-job training is required to learn the basic essential skills for this position.

Responsibilities

  • Update and maintain mandatory academic session calendars
  • Create and maintain the residency website
  • Working with PGME (post-graduate medical education), coordinate the completion and distribution of end-of-training certificates for trainees
  • Coordinate monthly RPC (Residency Program Committee) meetings
  • Coordinate quarterly Academic Planning Group meetings
  • Act as the primary contact and resource for the training program, program directors, Postgraduate Medical Education (PGME), Professional Association of Residents of Alberta (PARA) and the College of Family Physicians of Canada addressing resident and faculty inquiries as necessary
  • Collect and disseminate rotation assessment/evaluation data in a timely manner
  • Notify advisors of deadlines for completion of assessments and create a follow-up action plan for delinquent forms
  • Coordinate residents' requests for time away and update resident end dates if a leave causes a change

  • Coordinate On-campus workshops (minimum of 10 per year):
  • Assist with set up and planning for Practice Management, acute care skills, EBM (Evidence Based Medicine) workshops and Foundations
  • Act as the primary contact and resource regarding the Canadian Residency Matching Service (CaRMS) for urban applicants (over 600/year) for CMG (Canadian Medical Graduate) and IMG (International Medical Graduate) candidates
