Responsibilities

  • Ensuring physical security of the office; completing regular walks to check entry points, checking employee access cards and issuing new ones, ensuring employees are following physical security procedures
  • Look after visitors by greeting, welcoming, directing them appropriately, and notifying the relevant colleagues
  • Admin tasks such as post handling, arranging couriers, ordering gifts/incentives, ordering stock (including branded items), arranging photographers
  • Arranging couriers, including to deliver equipment for new starters starting remotely
  • Ensuring meeting rooms are adequately tidy and setting up meetings as required (ordering breakfast/lunches and making drinks)
  • Organise employee benefits (booking massage therapist, ordering birthday cakes, setting up lunch each day)
  • Liaising with the building management team and Landlords to resolve issues in the office
  • Onboarding new starters, creating welcome packs and arranging intros with various teams
  • Restock kitchen each morning and afternoon
  • Highlighting and resolving, if possible, any issues within the office to Office Manager
  • Arranging meetings with external suppliers and contractors
  • Keeping employees updated with company-wide updates
  • Responding to and keeping on top of the Office Management inbox
