Requirements

  • Be a graduate of an Office Administration program with experience in an administrative support role or the equivalent of education and experience.
  • Work within a Christian faith-based setting and uphold the mission, vision, and values of the Salvation Army.
  • Be proficient and able to demonstrate skills in technology such as MS Office (Word, Excel, PowerPoint, Publisher & Outlook), and Social Media platforms such as Facebook and Instagram.
  • Be willing to learn a variety of new software systems.
  • Possess excellent oral, written, and interpersonal communication skills.
  • Have strong organizational skills with the ability to prioritize workload.
  • Be flexible and adaptable to meet the needs of the corps.
  • Must have strong ability to relate well to people and understand and maintain clientele/worker boundaries.
  • Strong sense of ethics and the ability to handle sensitive and confidential or private information with tact and discretion.
  • Be able to maintain a high standard of confidentiality and willingness to sign a confidentiality statement.
  • Obtain a clean Driver’s Abstract, Criminal Police/Vulnerable Sector Check, and clearance through The Salvation Army’s Internal Abuse Registry and be willing to sign the Salvation Army Code of Conduct Receipt and Acknowledgement Form.

Responsibilities

  • General Office
  • Under the direction of the corps officers, perform general office responsibilities including, but not limited to:
  • Drafting and typing correspondence
  • Photocopying and scanning documents
  • Responding to all in-person visitors, telephone calls, and email requests
  • Organizing documentation/presentation for Sunday or week-day services such as Easy Worship, PowerPoint slides, Church bulletin, and any other special requirements requested by the corps officers
  • Builds and maintains databases (such as corps directory, email lists, volunteer, and employee lists)
  • Responding to requests for dedications, marriages, funerals, pastoral care, etc.
  • Processing incoming and outgoing mail
  • Developing brochures, fliers, and invitations
  • Scheduling appointments and meetings (either in-person or online)
  • Maintaining the management of church facilities for bookings such as wedding/dedication services, rentals (schedule the caretaker, sound technician, musicians) etc.
  • Ensuring adequate inventory of office and church supplies as well as monitoring keys to the church and offices
  • Overseeing the management of all office equipment as required fire alarm, fire extinguisher inspections, annual snow clearing contract, waste, paper disposal and pest control contracts
  • Receiving requests for family assistance and food bank hampers
  • Assisting with the processing of requests for hamper assistance at Christmas time
  • Confidentiality
  • Ensuring the protection of, and sensitivity to, personal and confidential information
  • Record Keeping and Statistics
  • Using a high degree of accuracy and attention to detail, maintains all hard copy and electronic (Shelby) corps membership rolls and other records/registers association with membership including employee/volunteer information, various ceremonies, and requests for assistance from Community and Family Services; prepares for the annual corps review; collects and records statistics in the Salvation Army Management Information System (SAMIS) monthly. When requested, provides reports for the Corps Officers, Mission Board, CFS, DHQ and other internal and external committees.

  • When directed by the Corps Officers and/or Corps Treasurer, assist with the routine financial and administrative transactions such as:
  • Scanning and emailing invoices and other finance forms for processing
  • Collecting and recording monthly statistics in SAMIS
  • Receiving and receipting donations according to policy and procedures
  • Preparing invoices for payment and coding of same
  • Preparing monthly corporate VISA account records for Corps Officers
