Responsibilities

  • Setting up new client instructions, including conflict checks, setting up client rates and folders
  • Assisting with billing and queries regarding contract rates, time and disbursements
  • Supporting with meeting coordination for the team, including room bookings, AV and refreshments
  • Arranging travel/accommodation and keeping stakeholders advised of itineraries and any changes in scheduling
  • Preparing, submitting and chasing payment of expenses
  • Using Docusign to arrange signatures for engagement letters
  • Coding and submitting sales invoices to the Accounts Payable team for processing
  • Updating client relationship management systems (InterAction and Mercury)
  • Attending internal client or project meetings to take notes, distributing minutes and collating follow-up action points
  • Working with internal managers on new joiner induction materials and associated travel
  • Managing production of documents, ensuring all are consistent with our house style
  • Maintaining regular reporting i.e. monthly headcount/team org structures
  • Building and maintaining effective relationships with both internal and external clients and developing knowledge of their business
  • Contributing to team engagement by coordinating social events, collection pots and ad hoc purchases
  • Photocopying, scanning and printing
