Responsibilities

  • To manage administrative process at Birmingham Airport effectively by overseeing, co-ordinating and streamlining all administrative tasks to ensure they meet operational requirements and compliance with company and other local regulations. Ensure the assigned administrative staff are motivated, guided, and coached to provide a pro-active administrative support to the station.
  • Ensure all administrative onboarding requirements of new staff are efficiently managed including uniform requisitions, access to relevant company systems so that new staff have the necessary tools and are aware of the relevant requirements. Co-ordinate station ID requirements and vehicle passes for all staff and any station visitors always ensuring close liaison with airport pass office.
  • Control and Manage, a comprehensive inventory of all the equipment and assets within the Airport Services Department at Birmingham Airport, take regular physical stock for verification, and optimise utilisation/maintenance within budgeted figures. Coordinate with P&L, Finance for asset disposal process and approvals and with Suppliers for physical disposal while maintaining records.
  • Assist in the general Monday - Friday running of the office, ensuring sufficient stock is available as required. Create and maintain appropriate record and filing systems for easy retrieval and proper maintenance of records whilst investigating all possible IT solutions available to the station. Be highly conversant in all Office 365 applications.
  • Verify station invoices for services received and submit to Airport Services Manager for approval ensuring an auditable process for compliance.
  • Complete and follow up on GHA and service provider penalties and credits as per monthly meeting information.
  • Fully manage and own the uniform processes in the station, including ordering, distribution, management and destruction.
  • Liaise with all EK/ GHA staff for EK uniform requirements. Ensure that GHA maintain an accurate tracker of uniform ordering and assist with the ordering with uniform stores. Be the Uniform Standards champion for the station.
  • Ensure all month end reports are completed timely including station Time & Attendance reports.
  • Prepare and send payroll handover to HR each month.
  • Manage station mailboxes when on shift including completing baggage settlement claims as necessary and responding to all CASA requests.
  • Attend supplier meetings with Airport Services Manager / Airport Services Officer and produce minutes based on the detail discussed.
  • Maintain and update the local station manual.
  • Maintain and update EKAS staff mandatory training folder.
  • To cover ad-hoc operational tasks as deemed necessary including covering roster shortfalls where required e.g. escorting VIPs, iO’s, STCR ambulance crew. Provide assistance to passengers at check-in/ arrivals/ lounge as necessary. Assist passengers in times of disruption as required.
