Requirements

  • An in-depth knowledge of how orchestras and choirs work.
  • Good experience in the organisation & logistical planning of live classical music events with multiple stakeholders.
  • Good attention to detail
  • Ability to work both independently and as part of a team to manage several areas of work at a time; prioritising, delivering consistently to deadlines and reacting positively to changes and conflicting priorities.
  • Good knowledge of the techniques of Radio & TV Music production and their output.
  • Ability and skill to liaise sensitively with Proms talent at all levels and a wide range of stakeholders
  • Good ability to problem solve, manage event timelines, negotiate and organise live events within budget constraints.
  • Good communicator able to motivate, and foster collaboration in a diverse team to deliver the live events successfully
  • Good understanding of Health & Safety regulations and matters relating to child protection.
  • Good knowledge of office IT packages. Ability to master new systems e.g. Artifax Event, Visio, Microsoft Teams

Responsibilities

  • To work closely with the Live Events Team Manager, Event Producers, Operations Project Manager and seasonal Assistant Event Producers on planning across the Proms season
  • To brief and work collaboratively with a huge variety of stakeholders (internal and external), managing a few of those key relationships
  • To manage specific Prom events (small & medium scale) at the Royal Albert Hall & other venues in collaboration with the Event Producers
  • To support the Event Producers on large scale live events
  • Be responsible for the production of key event paperwork - concert summaries, stage layouts, rehearsal schedules using the event database Artifax and stage plan package Visio
  • To brief and liaise with the Radio and TV broadcast teams on all matters relating to each allocated Prom
  • Be Concert manager for a selection of Proms ensuring the smooth running of the event on stage in conjunction with the broadcasts (Radio and TV)
  • To assist with managing the event budget for each allocated Prom
  • Be an Artifax superuser including revising the system, setting-up templates / populating concert info
  • To contribute to the full life-cycle of key overview systems / paperwork / processes e.g. seat holds, budget reconciliation, piano planning, production meeting planning, contacts
  • Work with the Operations Manager on the season overview of Safeguarding and Access provision
  • To comply and implement all relevant BBC Safety Rules - producing Risk Assessments needed for events
