  • Highly proficient in MS Office suite: advanced use of Outlook, Word, Excel, PowerPoint and MS Teams including arranging meetings via Teams and Outlook and Face-to-Face.
  • Experience of successfully operating in a similar type of role.

Responsibilities

  • Provide administrative support for the Standards and Improvements Team and Operations Directors, supporting the operational delivery of the YJB’s priorities.
  • Provide appropriate business support for meetings including scheduling the meetings and recording minutes.
  • Manage the Central Business Unit mailbox, communicating effectively with internal and external stakeholders.
  • Consistently demonstrate support and respect for the YJB’s commitment to equity, inclusivity and diversity, both within the YJB and with its partners.
  • Ensure you understand and ad to your responsibilities regarding health and safety and data protection.
  • Work positively and collaboratively with colleagues in both England and YJB Cymru.
  • Work flexibly to meet the requirements of the business. You may be required to undertake other duties within your role or in other parts of the business at your grade to meet business priorities.
  • Providing administrative and business support for the Standards and Improvements Team and across the Operations Directorates, including updating guidance documents, collating information, and conducting other grade appropriate administrative tasks, as required.
  • Managing the Central Business Unit mailbox which is a key point of contact with the youth justice sector and members of the public.
  • Managing diaries, meetings, and schedules to support operational delivery of the YJB’s aims.
  • Co-ordinating meetings across the Directorate and following up on minutes and actions to ensure timely completions, escalating w appropriate.
  • Work with the Head of Standards and Improvements to update guidance documents.
  • Liaise with Heads of Oversight and Oversight Managers to monitor the submission of Youth Justice Plans by Youth Justice Services.
  • Maintain up to date records of HMIP Inspection Outcomes.
  • Work with the Head of Standards and Improvements to support in the development of the Practice Library for use in supporting practice.
  • Responsible for own learning and development to understand the contribution of the Operations Directorates to the wider work of the YJB.
