Requirements

  • Current resident of the State of Wisconsin
  • High School Diploma or GED equivalent and at least three (3) years of experience in an administrative/office support role which included entering and retrieving data OR
  • Possess an associate degree or higher in Business/Office Administration and at least six (6) months of experience.
  • Intermediate knowledge of all related computer and software applications, such as word processing, databases, and spreadsheets.
  • Proficient at using general office equipment including a multi-line phone, copier, fax, printer, and scanner.
  • Able to lift/carry up to 25lbs and push/pull up to 50lbs on a regular basis
  • Be a team player, with the ability to work harmoniously and effectively with co-workers and external contacts; oral and written communication skills.
  • The position will have frequent contact with professionals across other departments and external entities to gather and/or give information in a confidential manner.
  • Must have the ability to read, write, comprehend, and analyze documents, routine reports, and correspondences; proficient with word processing, data entry, and speak effectively before both internal and external groups.

Responsibilities

  • Data Entry. Interpret, review, verify, and investigate information from police reports, court orders, warrants, Human Service Workers notes/reports, and petitions. Enter information in multiple data systems based on criteria. Research information in CCAP, JPM, Synthesis, and multiple, ancillary databases. Complete data entry of Alcohol and Other Drug Abuse program assessments and urinalysis results.
  • Process Program and Service Referrals. Review and process referrals for CYFS Network programs and services that youth are sent to by their human service worker. This includes data entry into multiple data systems based on criteria, electronic file processing, follow-up, and communication with CYFS Provider Network Agencies.
  • Reports. Create and maintain weekly, monthly, and annual statistical as well as census reports to ensure accuracy of enrollment into the program or service.
  • Wisconsin Circuit Court eFiling. Verify documents submitted by human service workers and contracted agencies. Upload documents into the WI Circuit Court eFiling System and forward confirmation or rejections.
  • State of Wisconsin eWiSACWIS. Complete data entry, update, and maintain accurate information regarding youth in the State of Wisconsin eWiSACWIS system.
  • Perform all other duties as assigned. Including, but not limited to filing, copying, scanning, faxing, emailing, and distributing mail. Provide coverage for the Clerical Assistants for reception, file room, storeroom, and dock.
