Responsibilities

  • Initiates, provides, and manages the ADA/FEHA & Pregnancy Disability Accommodation Interactive Process for
  • employees requiring leave extension beyond legal entitlements or policy
  • employees returning from a Leave of Absence (LOA) with work limitations
  • employees currently working that report or are experiencing work limitations which impact their ability to perform the essential functions of the job
  • applicants as identified in the post offer pre-employment examination by Employee Health Services as potentially requiring the need for ADA accommodation consideration
  • Provides consulting services relating to Leaves of Absences (LOA) as they pertain to the Short-Term Disability (STD), Extended Sick Leave (ESL), Long Term Disability (LTD), and Severance Benefits programs
  • Interprets and clarifies LOA policy to employees, supervisors and managers to ensure accurate, fair and consistent application of provisions
  • Reviews open leave inventory with assigned specialists; monitors case progress; collaborates and provides feedback on case management strategies; contributes and participates in open case reviews; intervenes on complex cases and provides case management and technical guidance
  • Acts as liaison between employees, Workers’ Compensation, Human Resources, Payroll & Benefits Departments as overlapping issues arise regarding LOA, STD/ESL, SDI and Workers’ Compensation benefits
  • Directs employee inquiries for information regarding associated medical, dental, vision, life and LTD insurance, flexible spending accounts, disability benefits and retirement to the appropriate Benefits representative
  • Initiates separation of employment process as outlined in THPM work practice guidelines when appropriate, ensuring that requirements under various laws including ADA/FEHA, FMLA, and PDL laws are considered, obligations are met and risks mitigated
  • Provides employee relations guidance and support to managers and employees on cases with a disability management component/overlap. In collaboration with Human Resources Business Partners, provide ongoing direction and guidance on existing IDAM policies and procedures and how they apply/relate to conflict resolution, job performance expectations, counseling, disciplinary action, grievance and terminations
  • Monitors open leave inventory as it relates to leave duration and lost productivity; utilize data to guide case management practices/strategies and align with meeting program performance target outcomes
  • Provides direction and coordination of the Connect to Work Program (CTW)
  • Coordinates the placement of employees in temporary modified work assignments
  • Ensures employee understands his/her role/responsibility within the CTW program
  • Ensures employee/supervisor CTW paperwork is completed and turned in within timeframes outlined in the program
  • Performs continuous follow-up with injured/ill employees to ensure that modified duty provided to the employee is within the established restrictions
  • Case manages employee participation in the program; monitors functional improvement to determine ongoing program eligibility; engages employee’s and healthcare providers as needed to assess progress
  • Provides timely notification of CTW program expiration and conducts the interactive process with explanation of benefit impact if the employee is unable to return to their regular position at the conclusion of the 90-day CTW program
  • Works in partnership with IDAM support staff when employee is ineligible for Leave of Absence or when the Leave is complex in nature
  • Interprets LOA policies for employees, manager, and Human Resources staff to ensure an accurate, fair and consistent application of policy and collective bargaining agreements
  • Determines appropriateness of length of the LOA based on the documentation provided and consults with the IDAM Specialist and HR Business Partner
  • Seeks opportunities to explore early return to work options for employees on LOA
  • Manages the processes for all cases within the IDAM team including those performed by the IDAM Specialist
  • Develops and presents training sessions related to LOA and ADA/FEHA laws, policies and requirements to human resources representatives, managers and employees.
