Requirements

  • Proficiency in MS Office Suite is required and knowledge of the following software applications or similar preferable NetDocs, Visual Files, Adobe Pro PDF editor.
  • Strong understanding of legal terminology and document formatting.
  • Excellent written and verbal communication skills.
  • High attention to detail and ability to manage multiple tasks simultaneously.
  • Ability to work independently and manage time effectively.
  • Knowledge of BigHand or similar transcription software required.

Responsibilities

  • Amend and format a wide range of documents, including PDFs, using track changes.
  • Ensure documents meet company standards and are error-free.
  • Prepare and manage client engagement documentation.
  • Ensure all documents are up-to-date and accurately reflect client interactions.
  • Draft, proofread, and send professional correspondence, including letters and emails.
  • Maintain clear and concise communication with clients and team members.
  • Open and set up new client files in accordance with company procedures.
  • Ensure all necessary information is accurately recorded and filed.
  • Assist in amending and preparing Wills and other legal forms.
  • Ensure all documents comply with legal standards and client requirements.
  • Process TT forms and manage e-payment transactions.
  • Ensure all financial transactions are completed accurately and in a timely manner.
  • Make and receive phone calls to and from clients.
  • Provide exceptional customer service and maintain professional communication at all times.
  • Transcribe audio recordings into written documents with high accuracy.
  • Ensure all transcriptions are properly formatted and error-free.
  • Knowledge of BigHand or similar transcription software required.
