Requirements

  • You are proficient in English (European Framework level C2)
  • Experience as an Executive Assistant, Personal Assistant or Secretarial experience at Director or Senior leadership level
  • Experience with complex calendar management and scheduling of internal and external meetings, managing travel bookings, handling expenses as well as multi-tasking in a fast pace environment
  • MS Office knowledge (Word, Excel, Outlook, PowerPoint)
  • Excellent written and verbal communication skills
  • Bachelor's Degree
  • Superior attention to detail and ability to meet tight deadlines
  • Ability to complete complex tasks quickly with little to no guidance and react with appropriate urgency to situations that require a quick turnaround
  • Strong organizational, communication, and interpersonal skills
  • Ability to handle confidential information with discretion, and deal with professionals inside and outside the company
  • Ability to work in a highly ambiguous environment

Responsibilities

  • Management of complex calendar and scheduling to support teams across multiple time zones.
  • Manage domestic and international travel
  • Manage expense report coordination and submission
  • Organize, execute, and assist with team activities (staff meeting agendas, all-hands meetings, off-sites, and team social events)
  • Track and help drive completion of key deliverables and follow up on outstanding items
  • Act as a liaison for direct reports
  • Work closely with the leadership team, recruiting and other Executive Assistants to provide support to the organization
  • Have fun at work and help others do the same
