Responsibilities

  • Work closely with the C-level management, while collaborating with individual project teams in different locations, such as Germany, UK, Spain, China, Singapore, Pakistan, India and Egypt;
  • Manage professional communication and correspondence with internal and external business partners and stakeholders;
  • Make sure all administrative tasks run smoothly, e.g. team calendars, video conferences, travel arrangements etc.;
  • Assist or lead in recruitment and HR process including job posting, candidates screening, interviewing, contracting, onboarding and offboarding;
  • Maintain an efficient flow of information between the executive team and their direct reports;
  • Be responsible for maximizing our executive team’s time and energy by managing complex calendars and scheduling requirements;
  • Play an active role in building a great community – by facilitating relationship building among our international teams;
  • Maintain internal and external communication in different countries in various time zones, support all kinds of business requirements on different projects;
  • Manage information for internal and external communication including meeting minutes, memos, emails, presentations, reports;
  • Preparation of contracts and coordination with the legal team;
  • Manage office files and archive of documents;
  • Personal assistance for the executives;
  • Expenses and Timesheets management;
  • Continuous quality assurance of all processes and procedures;
