Requirements

  • Bachelor’s degree and five (5) years of commercial lease administration supervisory experience or an equivalent 1:1 combination of education and experience
  • Must have, or be eligible to obtain, a valid driver’s license and driving record within the standards outlined within Hanger’s Motor Vehicle Safety Policy and Procedures
  • Understanding commercial real estate leases, familiarity with operating and audit provisions in real estate leases
  • Experience reading and interpreting real estate leases, including all related lease documents, lease terminology, and lease clauses is essential
  • Proficiency in standard lease administration software and ability to accurately maintain software platforms/company databases
  • Experience working in commercial real estate required
  • Proficient in abstracting lease documents into lease administration software
  • Basic accounting skills
  • Lease term interpretation skills
  • Able to review and reconcile Common Area Maintenance, property tax and other operating expense invoices from landlord
  • Able to review and process year-end reconciliations for all operating expenses

Responsibilities

  • Ensure all Hanger’s rights, obligations, and opportunities for all leases are accurately reflected in the company’s lease administration database.
  • Ensure the lease administration staff is trained in the following areas: Landlord, Tenant, vendor and Subtenant communications / resolutions are timely, ensure the abstraction of lease data and payment schedule setups are accurate, ensure CAM Reconciliations are completed on a timely basis; Landlord statements / ledgers are reconciled, initiate appropriate action to ensure compliance with lease terms, timely vendor set ups, maintain, adjust and improve processes as needed and perform continual.
  • Perform peer reviews of lease abstracts and payment schedule setups.
  • Review monthly recurring rents, one-time payments, rent reconciliations, rent roll changes, CPI, or overage rent adjustments, and reconcile unbalanced ledgers.
  • Research and resolve AP inquiries including discrepancies, missing payments, past due balances.
  • Verify pro rata share, gross-up calculations and calculations of base year expense and any cap or stops identified in the lease.
  • Validate landlord invoices.
  • Review NNN reconciliations and conformance to lease requirements; coordinate with the third party vendor for review and process of annual reconciliations according to the terms of the lease.
  • Assist in the resolution of Landlord related disputes in accordance with Lease provisions to ensure cost savings initiatives for assigned portfolio.
  • Review, analyze lease documents in database.
  • Ensure lease administration database is accurate/complete and all data fields are populated.
  • Ensure the collection of security deposits.
  • Ensure the collection of subtenant rents.
  • Ensure the distribution of Certificates of Insurance.
  • Partner with interdepartmental teammates to interpret and explain lease terms for informed decision making.
  • Responsible for staff training and career development.
  • Assist Real Estate Director with lease database issues, conversions, etc.
  • Responsible for reviewing expiration report, questioning inputs and bringing potential issues to the Real Estate Director and the Portfolio Managers.
  • Ensure Tenant Improvement Allowances are current and collected timely.
  • Ensure critical dates are abstracted and monitored.
