Responsibilities

  • Assist staff, managers, engineers, and other team members with work activities.
  • Assist in managing the office operations, and arranging internal and external meetings, including meeting room bookings, IT tools checks, catering services, etc.
  • Maintain office inventory and procurement of office supplies as needed.
  • Organize internal and external events and represent the company as needed.
  • Assist staff with travel arrangements and timely submittal of expense reports.
  • On- and off-boarding of staff, including administrative processing (company ID, access authorizations), as well as ordering IT equipment for the team and supporting IT administration (drive management, access rights).
  • Maintain office and department-wide communications.
  • Maintain office templates and tools updated.
  • Maintain electronic and paper records, ensuring information is organized and easily accessible.
  • Coordinate domestic and international shipping and mail services as needed.
  • Ensure the team has timely access to tools and supplies needed for the job.
  • Supervise and coordinate the schedules of multiple staff members.
  • Handle correspondence, including responding when appropriate in English (e-mails, phone calls, and meeting requests) and coordinate the calendar to prioritize a high volume of appointments and travel requirements.
  • Look after internal and external visitors and coordinate meetings including the preparation of agendas, presentation material/pre-reads, and minutes of meetings.
  • Type, compile, and prepare reports, graphics, and presentations as part of individual strategic projects.
  • Comply with all internal and external rules and regulations, including custom export control, RI rules, department-specific work instructions, provisions of the Integrated Management System manual, etc.
