Responsibilities

  • Greet and assist clients, customers, and guests in a professional and courteous manner.
  • Answer the multi-line phone promptly, screening and routing calls accurately, take phone messages if necessary, and when applicable follow up on inquiries.
  • Deliver correspondence such as mail or faxes to the appropriate person/department.
  • Collect outgoing mail throughout the day, properly weighing and prepare for postal service pickup and/or special mailings such as Fed-Ex. At times, may have to deliver mail or “rush” packages to the local post office.
  • Accurately receive client payments over the phone or in person.
  • Maintain office supplies inventory.
  • Provide clerical assistance as assigned, including but not limited to:
  • Copy projects
  • Binding projects
  • Printing and assembling color projects
  • Confirm policy/application/payment data entry is accurate in the Agency Management System.
  • Assist with outreach and engagement of referral partners.
  • Review new business logs and send reminder to agents for updates and incoming new quotes.
  • Run and review a variety of agency reporting for distribution to management.
  • Support the office personnel and departments in other duties as required or assigned.
