Requirements

  • Bachelor’s Degree and a minimum 5-8 years of relevant event management experience, preferably in an arts or culture organization.
  • Outstanding written, verbal and interpersonal skills.
  • Ability to work independently and on multiple projects concurrently while being a strong team player with excellent leadership skills.
  • Exceptional organizational, administrative, quantitative, and problem-solving skills.
  • Substantial budget development and management experience.
  • Familiarity with New York City and international event production field, including entertainment, food, and other vendors.

Responsibilities

  • Execute high touch private and third party events from beginning to end, managing internal contributors and external vendors to ensure consistently successful, brand-aligned client engagements.
  • A-to-Z ownership of event management and production on select events, including venue scouting, vendor management, seating, guest check-in, back and front of house management, etc.
  • In partnership with the Events Director, Client Development and Sales Leads, manage the strategic, logistics, and reporting processes of list development and execution.
  • Develop and clearly communicate timelines and guidelines for events with relevant internal stakeholders, including event venue presentations. Proactively generate, manage and distribute invitation lists for outreach; Manage and route RSVPs reports regularly.
  • Manage a wide range of external vendors: restaurants, hotels, caterers, audio/ visual companies, staffing agencies, valet providers among others. Negotiate budgets and contracts, menu selection, event staffing, and day-of logistics.
  • Budget and contract management. Engage with legal, accounting and operations teams to finalize contracts and ensure timely vendor payments.
