Responsibilities

  • Act as gatekeeper to junior professionals of the Munich / DACH-coverage team and maintain relationships with clients, investors, prospective clients and internal colleagues, providing back-up to other administrative assistants as required
  • Help with the set up and the management of the Munich office (expenses, supply purchase, dealing office renting companies, reservation of meeting rooms when needed, taxis, etc.)
  • Manage calendars, schedule appointments, coordinate with other assistants, and confirm meetings with clients and internal colleagues
  • Cover multiple phone lines, and communicate with clients as requested
  • Send and reply to emails on behalf of professionals; draft other correspondence
  • Research and assist in the development of internal and external meeting materials to ensure professionals are prepared for client pitches, conferences, and speaking engagements (including the preparation of company summaries and key people’s biographies) and follow up on any action items (providing notes from prior meetings, tracking personal client details etc.)
  • Prepare and print presentation materials with attention to quality and detail
  • Proactively seek to learn and understand the business to better assist professionals and/ or clients
  • Arrange travel and reservations for professionals (e.g. flights, cars, hotels etc.), using good judgement with respect to timing and cost; assist with client travel as required
  • Handle confidential documents and correspondence as required, including some personal administration
  • Undertake data entry in all applicable databases with a strong attention to detail and integrity of data
  • Provide back-up to other administrative assistants as required (holiday cover etc.)
