The role applies strong administration and organization skills to provide support activities such as calendar management, invoice processing, travel booking, preparing correspondence, and screening and evaluating email and correspondence. The Executive Assistant to SVP exercises independent initiative and judgement in managing special projects on behalf of teams, planning, and following up on details regarding conferences and assisting in implementing operational plans the role makes decisions on daily priorities, developing and maintaining administration procedures and processes, coordinating meetings, and processing expense accounts.&lt;br&gt;&lt;br&gt;&lt;em&gt;At CIBC we enable the work environment most optimal for you to thrive in your role. Monitor and track all department invoices and expenses including contracts; process expense reports/invoices and update financial reports when required.&lt;/li&gt;&lt;li&gt;Professional support - Prepare standard correspondence, minutes, reports, and presentations frequently of a confidential, strategic and/or specialized nature ensuring completed material is produced in a timely manner. Assist with the preparation of presentations and management reporting. Coordinates leadership team meetings including sending out invites and agenda, keeping and sharing minutes and compiling presentation materials.&lt;/li&gt;&lt;li&gt;Administrative duties - Provide ongoing administrative support such as; assisting with onboarding/off boarding activities for new and departing employees which include processing requests for technology requirements, business cards, corporate cards, expense, and travel profiles etc. As required, put together decks for any team or annual events, under guidance of SVP/VP and their directs. Consistently apply discretion and autonomy to make decisions within generally defined parameters.<br> * General Administrative Support - Process expense reports for Executives in the group, ensuring charges are within policy and follow guidelines, timely submission. Provide guidance to the team as needed. Perform general administrative tasks such as processing invoices, mail distribution, arranging couriers, maintain and update floor telephone lists and general administration files/tasks. Maintain department organizational charts, distribution lists and vacation schedules.<br> * New Hire Onboarding/Offboarding - Onboarding/offboarding for new/departing staff including the coordination of technology access, office set up and building access; ordering business cards, corporate phones, and corporate credit card as required; ensuring that all compliance requirements and internal policies are met.<br> * Relationship Building - Ability to deal with clients in a professional and courteous manner, and to develop and leverage strong professional working relationships. Post-Secondary education in a related field, preferred. &lt;/li&gt;&lt;li&gt;You show confidence and ability to exercise independent judgment, discretion and diplomacy in managing the activities of the department. &lt;/li&gt;&lt;li&gt;You are proactive, thoughtful and have an inquisitive work ethic. You anticipate needs, think critically and make suggestions for improvements where appropriate. &lt;/li&gt;&lt;li&gt;You have the ability to work with limited direction and ambiguity to make decisions within your scope of accountability. &lt;/li&gt;&lt;li&gt;You are extremely detail oriented and very well organized. You are able to manage time and multi-task to accomplish a wide variety of tasks, and conflicting priorities. &lt;/li&gt;&lt;li&gt;You can demonstrate experience in advanced level PC skills (MS Office: Excel, Word, PowerPoint, Outlook; web browsers). Experience with Visio, Workday, Amex GBT and/or COUPA considered an asset. &lt;/li&gt;&lt;li&gt;You are a strong communicator.  You show excellent communication skills, both written and verbal. &lt;/li&gt;&lt;li&gt;You are able to manage confidential materials in an appropriate manner. &lt;/li&gt;&lt;li&gt;You can work on-site.
